How SHU works
How does SHU.ai actually work? +
Getting set up takes minutes. Sign up free — no card, no sales call — then create a knowledge base for a project, client, or topic and drop your documents in; SHU.ai reads and indexes them automatically. Set who can access it in a couple of clicks, and invite your team by adding seats from the dashboard. Everyone can start asking questions right away.
What's a "knowledge base," a "model," and a "credit"? +
A knowledge base is one isolated workspace for your documents; each plan includes a set number. A model is one of SHU.ai's curated, privacy-vetted AI models that runs inside your workspace. A credit is the unit of usage — every question you ask draws from your monthly credit allowance, which you can track in your dashboard.
How is SHU.ai different from Glean or Guru? +
Glean is enterprise-only with no public pricing — a sales call and a five-figure annual contract just to start. Guru requires a 10-seat minimum, shutting out individuals. SHU.ai is built for both solo thinkers and teams: transparent public pricing, a free tier that never expires, and plans that start at 1 user — so you can start alone and grow into a team without switching tools.
Is SHU.ai like ChatGPT? +
It feels like chatting with an AI, but instead of answering from the open internet, SHU.ai answers from your own documents — privately, with sources. On the Team plans it can pull in live web results too.
What can I actually ask it? +
Ask it to find a fact buried across your files, summarise a long document, compare versions, pull out key points, or answer a question in plain language. If the answer is in your knowledge base, SHU.ai finds it and cites where it came from.
Do I need to be technical or write special prompts? +
No. You ask in plain language, the way you'd ask a colleague — there are no prompts to learn and nothing to configure.
Does SHU.ai show its sources? +
Yes. Every answer points back to the documents it came from, so you can click through and verify rather than taking it on trust.
What kinds of files can I upload? +
Common document types — PDFs, Word docs, text, spreadsheets, and slides — with OCR so even scanned files become searchable. Solo Free covers PDFs and text; the paid plans add every format.
How long before I can start asking questions? +
Usually minutes. SHU.ai reads and indexes your documents as you add them, and you can start asking as soon as they're in.
Can I add, update, or remove documents later? +
Anytime. Add new files, swap them out, or delete them, and your knowledge base re-indexes automatically so answers always reflect what's current.
Can SHU.ai answer across more than one knowledge base? +
You ask within a knowledge base, which keeps each project, client, or topic cleanly separated. Switch between them whenever you like from the dashboard.
Can several people work in the same knowledge base? +
Yes — on the Team plans, multiple seats can share a knowledge base, each seeing it according to the access you've granted them.
How does SHU.ai keep its answers accurate? +
Because answers are grounded in your own documents and cited, SHU.ai is far less prone to making things up than an open-web chatbot — and you can always check the source for yourself.
Can I connect my other tools? +
Yes — SHU.ai can connect to popular tools and sources so you can bring content in without manual uploads. Which connectors are available depends on your plan.
How pricing works
How is SHU.ai priced? +
Simply and publicly. You pick a flat monthly plan — Solo Free ($0), Solo Pro ($20), Basic Team ($88), or Scale Team ($222) — and each comes with its own knowledge bases, document limits, models, features, included users, and a monthly credit allowance. Pay monthly or save with annual; Enterprise is custom-quoted.
Is pricing per seat or a flat monthly fee? +
Each plan is a flat monthly price that already includes its users. You only pay more if you add extra seats beyond what's included — and those are priced clearly on the plan card.
Do I pay per question, or is usage included? +
Usage is included as a monthly credit allowance that comes with your plan and refreshes each cycle — there's no charge per question. If you regularly run low, a higher plan gives you more.
What makes one plan cost more than another? +
Higher plans give you more knowledge bases and documents, more seats and credits, and unlock web search, Ensemble Mode, frontier models, and fuller branding.
Can I see exactly what I'll pay before signing up? +
Yes — all plan pricing is public, with no sales call required. The only exception is Enterprise, which is tailored to your needs.
How is Enterprise priced? +
Custom, based on your usage, number of users, and requirements. Get in touch and we'll put together a tailored proposal.
Plans & packages
Which plans are available, and what do they cost? +
Four: Solo Free at $0 forever, Solo Pro at $20/mo, Basic Team at $88/mo, and Scale Team at $222/mo. Pricing is public — no sales call needed to see exactly what you'll pay.
What's the difference between Solo Free and Solo Pro? +
Solo Free gives you 1 knowledge base with up to 2 documents and curated, privacy-vetted models — enough to genuinely test the fit. Solo Pro ($20/mo) opens it up: 5 knowledge bases at 50 documents each, up to 5 extra seats, file export, and your own name-and-colors branding. Most solo users upgrade within their first week.
What's the difference between the Solo and Team plans? +
The Solo plans (Free and Pro) are built for individuals working alone or with a couple of collaborators. The Team plans (Basic Team and Scale Team) add what groups need: web search, Ensemble Mode, frontier models, far larger knowledge bases and document limits, more seats, and fuller branding.
How do Basic Team and Scale Team compare? +
Basic Team ($88/mo) covers most growing teams: 20 knowledge bases at 1,000 documents each, up to 20 extra seats, logo branding, plus web search, Ensemble Mode, and frontier models — with 20% off when billed annually. Scale Team ($222/mo) scales all of that up: 100 knowledge bases at 10,000 documents each, unlimited seats, your-own-URL branding, and 25% off annually.
I'm a freelancer, researcher, or creator — is SHU.ai actually for me? +
Yes — the Solo plans were built for exactly this. Scientists organising research, inventors mapping patents, writers and consultants building a knowledge base they can actually think with. You start at 1 user with no enterprise sales process, and grow only if and when you want to.
What's included
How many knowledge bases and documents can I have? +
It scales by plan. Solo Free: 1 knowledge base, up to 2 documents. Solo Pro: 5 knowledge bases at 50 documents each. Basic Team: 20 knowledge bases at 1,000 documents each. Scale Team: 100 knowledge bases at 10,000 documents each.
Which AI models do I get on each plan? +
Every plan includes curated model access and basic models — a set of privacy-vetted models ready to use. Basic Team and Scale Team add frontier models, the most capable models available, for heavier or more specialised work.
What is Ensemble Mode, and which plans include it? +
Ensemble Mode runs several models on the same question and combines their answers into one stronger, more reliable result. It's included on Basic Team and Scale Team; the Solo plans use a single model at a time.
Does SHU.ai support web search? +
Web Search lets the AI pull in live results from the web alongside your own knowledge. It's included on Basic Team and Scale Team. Solo Free and Solo Pro answer purely from the documents in your knowledge bases.
Can I export my files and briefings? +
Yes — exporting files is available on Solo Pro, Basic Team, and Scale Team. Solo Free keeps everything in-app without export.
Can I white-label SHU.ai as my own? +
White-labeling scales with your plan: nothing on Solo Free; your own name and colors on Solo Pro; add your logo on Basic Team; and add your own company URL on Scale Team — so the workspace looks like your product, not ours.
Billing, credits & upgrades
How does usage work — is there a limit? +
Usage is metered in credits. Each plan includes a monthly credit allowance that refreshes every billing cycle and covers your day-to-day questions: 77 credits on Solo Free, 385 on Solo Pro, 1,538 per seat on Basic Team, and 3,846 per seat on Scale Team. You can always see your remaining balance in the dashboard, and if you're running low, upgrading to a higher plan raises your allowance.
Can I switch between plans at any time? +
Yes. Upgrades take effect immediately, and your knowledge bases, data, and settings carry over. Downgrades apply at the end of your current billing cycle. Nothing is ever deleted when you downgrade — if you exceed the new plan's limits, affected knowledge bases go read-only until you free up space or upgrade again.
What happens to my data and settings when I upgrade? +
All of it comes with you — knowledge bases, documents, and history are fully preserved. You upgrade from the Admin panel in a couple of clicks, and you'll get a prorated credit for the unused part of your current billing period.
How does annual billing work, and how much do I save? +
Annual plans are billed once a year, and the savings grow with the plan: 15% on Solo Pro, 20% on Basic Team, and 25% on Scale Team. You can switch from monthly to annual at any time and we'll credit the remaining days of your current month.
Is there a free trial on the paid plans? +
Solo Free is free forever and lets you test with real data, not dummy content. Every paid plan — Solo Pro, Basic Team, and Scale Team — comes with a 7-day full-access free trial, so you can try the whole thing before you're billed.
Are there any hidden fees? +
None. The price you see is the price you pay — no charge for onboarding, setup, or integrations. The only optional add-on is extra seats beyond your plan's included users, shown transparently on the plan card.
Seats & teams
What counts as a "user" or "seat"? +
A seat is any named person with a login to your workspace — Admins, Editors, and Viewers all count as seats.
How many seats can I add on each plan? +
Solo Free is single-user. Solo Pro lets you add up to 5 extra seats, Basic Team up to 20, and Scale Team is unlimited. Extra-seat pricing is shown transparently on the plan card.
Can I start solo and upgrade to a team plan as I grow? +
Yes, and all your data comes with you. Upgrade from Solo to Basic Team or Scale Team at any time from the Admin panel — your knowledge bases, documents, and history are preserved, with a prorated credit for the rest of your current period. No migration, no starting over.
Enterprise & access control
Is there an Enterprise plan for large organizations? +
Yes. Beyond Scale Team, Enterprise is a custom plan for large organizations — unlimited users and knowledge bases, dedicated infrastructure, SSO/SAML, a private model vault, white-label, a named Customer Success Manager, and a custom SLA. Pricing is tailored to your usage; get in touch and we'll put together a proposal.
How do large teams use SHU.ai day to day? +
Teams stand up a separate knowledge base for each department, project, or client, and members ask questions to get sourced answers from the material they're allowed to see. Admins manage seats, roles, and access from one dashboard, and guest links let you share results with people outside the team — no extra seat required.
How does access control for knowledge bases actually work? +
Every knowledge base is an isolated space, and you choose which people and teams can open each one. Permissions are enforced at the knowledge-base level, so the AI only draws on what a given user is allowed to see — it can't surface content from a knowledge base they don't have access to. Change someone's access and what they can ask about changes with it.
What roles and permissions are available? +
The Team plans include role-based access — Admins, Editors, and Viewers — plus custom roles and permissions. That lets you decide who can add or remove documents, who can only ask questions, and who can manage seats and settings, knowledge base by knowledge base.
Can I give someone limited or guest access without a full seat? +
Yes. Guest access links let you share a specific output or a knowledge-base view with someone outside your team without assigning them a paid seat — guests are free on the Team plans.
Can we see who accessed what (audit logs)? +
Scale Team keeps a year of audit logs, and Enterprise offers custom retention. You can review who accessed which knowledge bases and when — useful for compliance, security reviews, and internal oversight.
Does SHU.ai support SSO / SAML and our identity provider? +
On Enterprise, yes. Your team signs in through your existing identity provider via SSO/SAML, so access is centrally managed — and removing someone from your directory removes their access to SHU.ai.
Can we run on dedicated infrastructure and bring our own models? +
On Enterprise, your deployment runs on dedicated infrastructure isolated from other customers, in the region you choose. You can also bring your own models into a private vault and request custom-trained or domain-specific models for your team.
Data & security
Is my data used to train your AI? +
Never — on any plan, at any price. Your documents, questions, and knowledge-base contents power only your own workspace, and are never shared, aggregated, or used to train SHU.ai's models. This is a hard architectural guarantee, not just a policy line.
Where is my data stored? +
By default, data is stored on encrypted, GDPR-compliant EU-based infrastructure, with encryption at rest and in transit. US-based storage is available on request.
What happens to my data if I cancel? +
Your workspace enters a 30-day grace period in read-only mode, during which you can export everything. After 30 days, your data is permanently and irreversibly deleted — and we send you two reminders before that happens.
